Store Manager

CONTEXT AND BACKGROUND

Mayo Foods Ltd., a subsidiary of Na-Cho Nyäk Dun Development Corporation (NNDDC) the active business arm for the First Nation of Na-Cho Nyäk Dun with Traditional Territory in central Yukon and stretching into the NWT. Mayo Foods Ltd. is a vital community-oriented retail grocery store serving the Mayo area in Yukon. As a key player in the local food ecosystem, Mayo Foods Ltd. is committed to providing essential goods and services while supporting the economic development and food security of the region.

Mayo Foods is a cornerstone investment in NNDDC's Food Sovereignty and Security portfolio, playing a crucial role in the broader strategy to enhance local food systems and promote food security within the community. The Store Manager will be instrumental in collaborating with local food actors to strengthen our local food ecosystem. In this role, the Store Manager will work closely with NNDDC's Food Systems Manager to develop and implement integrated food sovereignty strategies that align with the community's needs and priorities. This collaboration aims to support sustainable food production and distribution, ensuring that Mayo Foods contributes effectively to the community's food security and sovereignty goals.

The Store Manager position at Mayo Foods Ltd. is crucial to the success of our operations and the fulfillment of our mission. This role requires a dynamic, versatile professional who can effectively manage all aspects of a small but complex retail environment. The ideal candidate will be a self-starter with strong leadership skills, financial acumen, and the ability to adapt to the unique challenges of operating a grocery store in a remote northern community.

Working closely with NNDDC's management team, the Store Manager will be responsible for overseeing daily operations, inventory management, customer service, and staff development. This position demands a high level of accountability and the ability to make strategic decisions that align with the company's goals of profitability, community service, and sustainable business practices.

The Store Manager will play a pivotal role in fostering positive relationships with customers, suppliers, and the local community. They will be expected to demonstrate cultural sensitivity and an understanding of the importance of food security in the region. Duties and Responsibilities (subject to additions and deletions as assigned):

Managerial

General

Execute policies, programs and procedures designed for and implemented by the Company while working to track, analyse and take action to improve store performance where opportunities exist and are identified by meeting or exceeding established goals; reducing company expenses; increasing company sales; and/or increasing margins achieved through strategies such as the reduction of shrink, reduction of mark-downs, improved pricing strategies, etc.

Ensure all operational standards are being met in order to exceed customer expectations and establish loyalty while bringing any unresolved customer or vendor complaints of serious nature, or that may have significant potential financial or other impact on the store operation, to the attention of the NNDDC CEO in a timely manner.

Ensure organizational effectiveness and profitability by managing pricing product mix and supplier relations.

Be responsible for the direction, coordination, and delivery of product, and product sales and regularly review operations to discuss and address issues that arise.

Ensure the wellbeing and security of buildings; equipment and other assets; inventory; cash; keys; file and data; both electronic and hard copies by following established security procedures and responding to calls received from the security company, be alert for all unauthorized misuse of Company assets, removal of merchandise and/or pilferage, ensure all proper security measures are always taken and ensure the proper maintenance of all equipment and premises by identifying and reporting all matters requiring attention in a timely fashion.

Human Resources

Be responsible for recruiting; interviewing; hiring; training; scheduling, rewarding; motivating; progressive disciplining; demoting; dismissing; planning and assigning tasks; completing performance reviews; addressing complaints and grievances; and resolving problems with employees in accordance with the Company’s HR policy.

Ensure all staff follows a respectful code of conduct and adheres to the Company’s policies, safety regulations and current practices and procedures; both written and unwritten that exist now or may be implemented in the future; as well as all local, territorial and federal laws where applicable; document violations; and conduct progressive disciplinary actions when necessary.

Assume the duties of subordinate positions when determined necessary to ensure operational requirements are met in a satisfactory and economical way in the event of labour shortages, unexpected absences, vacations, sick and other leaves;

Store Manager is responsible for the promotion and maintenance of a respectable and solid working relationship between management and staff.

Operational

Responsible for ordering product and supplies while maintaining proper inventory control and giving consideration to the Company’s cash flow requirements, including assisting seasonal camps with special orders and bulk ordering; ensure resultant product orders are properly placed, assembled, priced, checked, invoiced and appropriately stored in a timely manner for customer pickup according to developed schedules.

Assist customers with product recommendations, product requests and special orders.

Responsible for taking accurate inventories as directed, complying with proper classifications.

Merchandise, price and stock all product ensuring product rotation to minimize dating issues.

Supervise and initiate the building of attractive balanced displays of merchandise from time to time as needed, maintaining counter/floor efficiency and sales per square foot.

Complete weekly flyer downloads and assist to develop and coordinate any in-store merchandising plan around TGP marketing programs including, in addition to the weekly flyer; Seasonal Ads, Super Saver, Private Label and Every Day Best, which will maximize both sales and gross margins.

Establish in-store promotions and general advertising & marketing to clear out slow moving merchandise; merchandise nearing best before dates; and merchandise bought on deal to pass on to customers.

Complete price changes, shelf tag and sign maintenance including location and line-pricing maintenance, ensuring pricing integrity between SMS and posted prices.

Look into the price of any items found with questionable pricing and correct any errors found in a timely manner to ensure pricing integrity and appropriate margins are achieved.

Responsible for adding, pricing and tagging new products from Direct Shipment Suppliers into SMS under the proper category and location with the appropriate margins and monitoring new invoices for price changes not directly downloaded by TGP.

Responsible for managing deleted items; removing from SMS and replacing them with new like product available from suppliers.

Accountable for following backroom inventory procedures including proper receiving, storage and claim procedures to ensure; invoicing accuracy, appropriate inventory levels, proper rotation, increased shelf life of fresh and frozen product, and proper storage that meets health and safety regulations.

Responsible for checking store inside and out for problems such as litter, graffiti and cleanliness; deal with these issues as they arise.

Contributes to and ensures the overall cleanliness of the store to meet health and safety regulations and to provide a clean and professional operation by picking up, organizing and cleaning all work areas, shelving, sales floor, bathrooms, and back room.

Financial

Exercise direct supervisory control over-all front-end cashier related functions, ensuring sales are properly departmentalized and cashier reports, cash and inventories are reconciled at the end of each shift; floats are accurately prepared; sales are recorded in the sales journal; and ensure that cash is properly handled and secure and report any major discrepancies found to the Bookkeeper.

Handle Accounts Receivables on a weekly basis in accordance with store procedures in the absence of the bookkeeper.

Complete bank deposits and take to the bank; make float order.

Ensure invoices for inventory and supplies purchased are accurate and properly classified.

Maintain administration and accounting records and filing as directed.

Ensure established procedures for recording transfers and shrink are followed and appropriate entries are made in the necessary spreadsheets as per company policy.

Review financial statements and report on financial and operational results monthly to NNDDC

Credentials Education and Experience

Position requires a college associate degree, diploma or certificate in Business Administration with 1 year of retail grocery management experience, or High School Diploma with a minimum of three years of retail grocery management experience with a large grocery or general store and the proven ability to supervise up to 10 persons.

Special Requirement/Knowledge

Working knowledge of store point of sales systems and inventory control software

Working knowledge of spreadsheet and word processing software

Working knowledge of email and internet applications.

General computer literacy skills.

Strong financial acumen.

Work Environment

Indoor retail business environment, heated and air-conditioned. The environment can be a fast-paced especially during the high summer season. Numerous interruptions to the work process can often be expected by management, employees, customers, telephone, and vendors. Work under pressure and time pressure to complete tasks exists.

Physical Demands

Time is split between the sales floor, back room, and accounting and administration office. While performing the duties of this position, the employee is required to sit, stand, walk, reach, hold, bend, kneel, crouch, climb and balance. Employee must be able to work long hours and be on his/her feet for extended periods of time. Employee must frequently lift and/or move more than 50 lbs, above 75 lbs with the aid of another employee or a hand cart.

This position occasionally includes sitting for long periods of time, the ability to view a computer monitor for long periods of time, and frequent alpha numeric keyboarding. Constant use of the

computer can potentially cause strain to the eyes, hands and back though this position does not typically require constant use.

Conditions of Employment

Position Overview: Due to the small size of the Company’s operations the Store Manager’s duties and responsibilities can be fairly complex and varied.

The position is responsible for all day-to-day management, operations and performance of the store; including but not limited to control of inventory, human resources (HR), cash, security, customer service, sales, merchandising, financial controls and assets as assigned. The store manager is to ensure efficient and accurate office and operational procedures are established and maintained; to lead in achieving and improving customer satisfaction, drive store sales and increase profitability of the store, in accordance with the Company’s objectives.

Security Clearance: This position is subject to a security check, initially and on an annual basis if management requires it. A condition of ongoing employment is that the employee must meet the security check requirements including a criminal record check if requested. The position is bondable.
