Administrative Assistant (NOC 13110)

Job Descriptions and Requirements:

Permanent full time General Office Worker wanted: 1 position.

Start Wage: $33.50/hour, 35-40 hours per week. Include morning and day shifts.

Responsibilities:

  • Arrange and coordinate seminars, conferences, staff meetings, client information sessions, and other office activities, including schedules, supporting materials, and related administrative arrangements
  • Record and prepare accurate minutes of meetings, seminars, and conferences, and maintain organized records for future reference and follow-up
  • Schedule and confirm client appointments, internal meetings, and staff consultations while managing changing priorities and ensuring effective use of office resources
  • Answer telephone calls, relay messages, respond to electronic enquiries, and direct clients and other contacts to the appropriate staff member
  • Manage service contracts and related administrative documentation, monitor deadlines, and maintain accurate and up-to-date records
  • Establish, implement, and maintain office policies, administrative procedures, document-control practices, and internal workflow systems
  • Assist with staff consultation and grievance procedures by coordinating meetings, preparing administrative records, maintaining confidentiality, and supporting internal communication
  • Supervise and train other workers in office procedures, administrative standards, record management, client-service practices, and the proper use of internal systems
  • Coordinate the preparation, organization, filing, and distribution of contracts, correspondence, forms, meeting materials, and other administrative documents used in the firm’s daily operations
  • Open, review, sort, and distribute regular and electronic incoming mail, correspondence, and other materials to the appropriate team members
  • Order office supplies, maintain inventory records, monitor usage, and ensure that staff have the materials required for efficient office operations
  • Support communication and coordination between staff members, clients, employers, and other external contacts while maintaining professional service standards and confidentiality
  • Monitor administrative deadlines, follow up on outstanding documents and internal action items, and help ensure that office procedures are completed accurately and on time
  • Provide comprehensive administrative support to management and staff to maintain efficient, organized, and consistent office operations

Requirements:

  • Required language: English
  • College diploma/certificate is required
  • Need at least 1 year experience in related field.
  • Excellent organizational, prioritization, and time-management abilities
  • Ability to manage multiple responsibilities accurately in a fast-paced office environment
  • Demonstrated reliability, professionalism, and attention to detail
