Duties and Responsibilities

Program Administration

  • Manage and administer a variety of ongoing programs such as the Recycling Points Club and Paper Save on a weekly basis, including data entry, scheduling, invoicing, proposal review, and acting as the primary point of contact for stakeholders and funding beneficiaries.
  • Assist with budget tracking and reporting related to assigned programs.

Reception and Public Inquiries

  • Provide front-line reception for public inquiries via telephone, email, and in person, maintaining a professional and informed presence at all times.
  • Support communication and follow-up with community members, funders, and program partners.

Administrative Support

  • Perform related administrative duties such as light bookkeeping, minutes for staff meetings, cash management, banking, and opening and closing tills.
  • Ensure efficient office organization and maintain filing and records systems (digital and physical).
  • Prepare minutes for all-staff meetings and other meetings as required by the Executive Director.
  • Assist the Executive Director with correspondence, scheduling, research, and administrative projects.
  • Provide occasional research to support the development of policies and procedures.

  • Assist in the preparation of reports, presentations, and documentation for management and Board use.

Human Resources and Onboarding

  • Orient new employees to Raven’s safety policies, workplace procedures, and organizational values.
  • Maintain training and orientation documentation, ensuring compliance with internal safety and HR requirements.

Public Education and Outreach

  • Assist Zero Waste staff with site tours, educational presentations, and community events such as school programs and trade shows.
  • Coordinate logistics and promotional materials for public outreach events as needed.

Governance Support

  • Assist the Board of Directors with administrative duties such as annual filings with Corporate Affairs and maintaining up-to-date Board files and records.
  • Support preparation of Board meeting materials and ensure accurate recordkeeping of decisions and follow-ups.

Office and Supply Management

  • Replenish and monitor levels of cleaning, kitchen, first aid, and office supplies. particularly those with longer turnaround times such as chit pads and till tape.
  • Maintain inventory lists and supplier contact records to support consistent operations.
  • Cover for depot staff or complete last-minute supply runs when required.

Organizational Participation and Culture

  • Participate actively on various internal committees to maintain strong communication and relationships across the Raven team.
  • Familiarize oneself with Raven’s Philosophy and Code of Conduct and implement them at all times.
  • Contribute to a positive, inclusive, and solution-focused workplace culture.
  • Identify opportunities to streamline office systems and improve administrative efficiency.

Working Conditions

  • The majority of work is performed under normal office conditions, with intermittent site visits to various parts of the facility, other stakeholder locations, and the bank.

  • Occasional weekend or evening availability may be required to support public events or Board meetings.

Knowledge and Skills

  • Post-secondary education in a related field such as administration, business, or equivalent experience.
  • Excellent written and oral communication skills.
  • Excellent organizational skills, attention to detail, and ability to multitask with minimal supervision.
  • Strong interpersonal skills with a commitment to teamwork and customer service, and an affinity for working with the public.
  • Valid driver’s license and access to a vehicle for errands (mileage paid by employer).
  • Bondable.
  • Ability to anticipate needs, work independently, and support multiple supervisors.
  • Understanding of multicultural work environments and anti-discrimination processes and policies.
  • Demonstrated proficiency with Microsoft Office (Word, Excel, Outlook) and comfort learning new software programs.
  • Experience using bookkeeping or accounting software (e.g., Simply Accounting/Sage) considered an asset.
  • Knowledge of records management or information tracking systems preferred.
