Office Administrator
Greenwood Engineering Solutions is a Whitehorse-based consulting company. We develop innovative approaches to provide tailored advisory services for northern communities. Our projects include community sustainability, planning for new development, and municipal infrastructure assessment, design, tendering, construction administration, and maintenance. We also offer various field services including site survey, sewer flow monitoring, CCTV camera inspections, and directional drilling for culvert reaming.
Greenwood Engineering Solutions is seeking a motivated and organized individual to join the team as a part-time Office Administrator, with the opportunity for the role to become full-time in the future.
The Office Administrator will play an engaged role in the work we do and their tasks will be varied. As part of a small, dynamic team, the Office Administrator will ensure the company's day-to-day operations run smoothly and efficiently while also supporting the delivery of a range of projects.
Responsibilities will include but are not limited to:
- Assisting in managing our time tracking, receipt and invoicing software (Harvest, DEXT and QuickBooks); AR and AP
- Internally setting up project files
- Assisting in the preparation of vendor invoices and project proposals
- Maintaining office supplies and inventory
- Process incoming and outgoing mail manually or electronically
- Ordering food for meetings
- Arranging travel, rental vehicles and accommodation
- Booking courses and professional development training
- Plan and coordinate company events and client/staff appreciation
- Managing our ongoing software subscriptions, permits and licenses
- Assisting in preparing proposals and project work as required
- Tracking leave, sickness and absence
- Company Benefits Administrator
- Applying for funding - summer students and equipment
- Assisting in recruitment, onboarding and performance management
- Supporting the Health and Safety Representative
Skills required:
- Excellent written and verbal communication skills are essential to internal and external interactions.
- Highly organized, detail-orientated and able to work independently
- Proficient in Microsoft Office.
- Strong problem solving skills with the ability to juggle multiple tasks and competing priorities.
- HR experience would be an asset as would proficiency in using accounting software such as Quickbooks.
The position will ideally commence on August 17, 2026 to allow for training with the current Office Administrator.
