Drop-In Program Coordinator

Job Summary:
The Drop-In Coordinator is responsible for overseeing the Drop-In Program along with the staff and volunteers that make up the drop-in team. The Drop-In program offers women and their children a safe and welcoming place they can access throughout the week. There are many different programs, resources and referrals offered in house and across the community. The Drop-In staff are the first point of contact for folks entering our space and it is their duty to ensure that those entering the VFWC feel welcome and included while fostering a trauma informed and response-based approach.
Reporting to the Operations Manager and the Executive Director, the Drop-In Coordinator must ensure that the common area is cleaned and that donations are processed in a timely manner, while still supporting clients with access to the Centre’s resources and amenities. Other duties include coordinating workshops, special events, advocacy and other initiatives throughout the year.
Main Responsibilities:
Drop-In Space Maintenance
- Maintain a welcoming atmosphere to all who access the Centre, while ensuring they feel comfortable and engaged during their visit
- Manage donations (accept, sort, defer, record)
- Manage the use of the computer, Internet, printer, cellphone and scanner by the public
- Receive and sort client mail
- Refer calls and walk-in requests to the appropriate VFWC staff or partner agency
- Maintain and ensure the laundry room and shower are accessible and ready for public use.
- Maintain library; manage book sign-outs and returns
- Direct phone and in-person inquiries to appropriate staff
- Ensure bulletin boards and pamphlet racks current and tidy
- Maintain cupboard inventory and supplies lists
- Opening and Closing procedures are followed and kept current for the drop in space
- Ensuring that the walkways and entry ways of debris and snow
- Other housekeeping duties as required
Drop-In Program Coordination
- Collect statistics
- Implement regular evaluations of program with Centre users
- Work in collaboration with community members, agencies and other VFWC team members
- Maintain and update a regular calendar of program events, workshops and activities
- Promote and assist with Centre initiatives including but not limited to campaigns, special events or regular programming
- Coordinate the Rural Pregnant Mom’s Suite, responding to enquiries, coordinating bookings, intakes and check-outs
- Promote and recruit participants for Center and partner petitions, events, surveys, focus groups etc.
- Work with the communications coordinator to promote programs and events
- Program and budget management, tracking and reporting
Drop-In Team Support
Work with Executive Director to coordinate and support on call Drop-In staff and volunteers including:
- Collect statistics
- Implement regular evaluations of program with Centre users
- Work in collaboration with community members, agencies and other VFWC team members
- Maintain and update a regular calendar of program events, workshops and activities
- Promote and assist with Centre initiatives including but not limited to campaigns, special events or regular programming
- Coordinate the Rural Pregnant Mom’s Suite, responding to enquiries, coordinating bookings, intakes and check-outs
- Promote and recruit participants for Center and partner petitions, events, surveys, focus groups etc.
- Work with the communications coordinator to promote programs and events
- Program and budget management, tracking and reporting
Team Requirements
- Participate in weekly VFWC team meetings
- Participate in staff training opportunities
- Maintain a good working relationship with all staff
- Adhere to the Centre’s policies and procedures
Education, Knowledge and Skills:
Knowledge of Microsoft office and programs, google forms, Canva, budgeting
Knowledge of response-based and dignity preserving practice is an asset.
Knowledge of suicide-ASSIST, Mental Health First Aid, or conflict de-escalation techniques
Experience in program coordination, workshop and event planning
Experience or certificates in peer support, social work, crisis intervention, trauma informed care, drug use intervention, gender-based violence or another related field
Experience with volunteer and staff supervision .
Experience working with and engaging with a diversity of folks - in particular individuals who have experienced trauma.
Current Standard First Aid and CPR & Food Safe Certificates are required upon hiring.
Strong interpersonal and communication skills, both verbal and written.
Ability to apply trauma-informed, client-centered, and response and strengths-based approaches.
Strong organizational and time management skills.
Ability to work independently, manage competing priorities, and adapt in a fast-paced environment.
Demonstrated ability to build relationships and collaborate with community partners.
Proficiency in Microsoft Office and general computer applications.
Non-judgmental, empathetic, and respectful approach to working with diverse populations.
Knowledge and Education Required

- Experience in program coordination, workshop and event planning
- Experience with team management
- Training in peer support, crisis intervention, trauma informed/ response based/ dignity preserving care, drug use intervention, gender-based violence or another related field
- Current Standard First Aid and CPR & Food Safe Certificates are required upon hiring.
- Valid Class five driver’s license
