Job Summary:
The incumbent is responsible for managing the office of the Director Health and Social to ensure effective coordination of the activities of the Director and to ensure optimum time utilization, and a reasonable and responsive work schedule. Provides administrative support to the Director and staff of the Health and Social Department of TTC and performs other related duties
Main Duties & Responsibilities:
Provides administrative support to the Director Health and Social to assist in the effective day-to-day administration and operation of the Health and Social Department of TTC, by:
- establishing a time schedule of all meetings to be attended by the Director Health and Social.
- scheduling and co-coordinating meetings by preparing an agenda, arranging a date, time and place, ensuring accurate minutes are taken, and ensuring that minutes are distributed prior to and after meetings.
- ensuring that follow up action is taken on Director’s decisions on a timely basis.
- compiling information and special reports as requested by the Director.
- answering telephone calls for the Director, providing basic information related to the operations of the department, forwarding calls with the appropriate departmental staff, taking messages and relaying these to the appropriate person.
- Working at the front reception desk and greeting citizens/guests.
- receiving and processing all in-coming mail and ensuring that urgent correspondence or reports are distributed quickly and that follow action is carried out by staff.
- Grade 12 supplemented along with relevant work experience in First Nations communities.
- Ability to utilize a computer and associated software, specifically word-processing, spreadsheet and e-mail programs.
- Knowledge of and experience in general office management techniques and practices.
- Knowledge of and experience preparing financial reports and funding proposals.
- General knowledge of the TTC Final Agreement.
Education & Experience:
- Grade 12 supplemented along with relevant work experience in First Nations communities.
- Ability to utilize a computer and associated software, specifically word-processing, spreadsheet and e-mail programs.
- Knowledge of and experience in general office management techniques and practices.
- Knowledge of and experience preparing financial reports and funding proposals.
- General knowledge of the TTC Final Agreement.
- Criminal Records Check
- Ability to maintain strict confidentiality is a mandatory requirement;
- Valid Class 5 Driver’s License
