The Role

The Appointments Coordinator is the first point of contact for patients calling our clinic. You’ll book appointments, manage the daily phone and front-desk flow, process electronic faxes, and work in our Electronic Medical Record (EMR) system to keep information accurate and up to date.

What you’ll do

  • Answer phones and emails; book, reschedule, and confirm appointments

  • Navigate our EMR (Plexia) to update demographics, messages, and tasks

  • Process and file incoming electronic faxes and referrals

  • Support the front desk (check-ins, forms, general inquiries)

  • Maintain patient confidentiality and a calm, professional tone

  • Pitch in with other administrative tasks as needed

What you bring

  • Very comfortable with computers and learning new software

  • Excellent communication and customer-service skills

  • Organized, reliable, and punctual; able to juggle multiple tasks

  • Team player who stays calm under pressure and solves problems

  • Commitment to confidentiality and respectful patient care

Nice to have (an asset, not a must):

  • Experience in a medical office or call-centre setting

  • Familiarity with EMRs (Plexia experience a plus)

  • Typing/ data entry accuracy and speed

Training & Support

We provide on-the-job training in our workflows and EMR. You’ll be supported by a collaborative admin team and clinic leadership.
