Whitehorse, Yukon Part time position 20 hrs/ week

  • If you share our vision and values, we’d like to hear from you. The Financial Services Division is responsible for Division productivity, program development and execution of national strategy. The Division Director is responsible for providing support in the development and execution of an annual business plan and also providing support in the management of ongoing operations, growth of sales and assets as well as the consultant network. He also manage his own practice.The Administrative Assistant to the Division Director, Whitehorse provides complete administrative support and is required to develop and implement support systems, while operating in a fast-paced, confidential, multi-tasking environment. This position is part- time, 20 hours per week and is located in Whitehorse, Yukon Territory.Responsibilities include:

  • Provide full administrative support to the DD (Division Director), including but not limited to the following. Prioritizing incoming communications via paper, telephone and email; Writing/drafting correspondence, responding to e-mail and monitor/respond to DD email (when required), directing calls and correspondence to appropriate colleagues within the organization, liaising with internal/external contacts, following up and ensuring delegated projects and requests are completed on schedule.•Preparation and development of presentation materials, executive briefing materials, statistical reports and/or graphs.•Develop and manage all record keeping systems, both electronic and paper. Monitor budgets.•Organize and manage the DD calendar and travel planning all meeting with clients. Meetings and Region Office visits, including facilities, equipment, catering, preparing and distributing agendas/programs.•Work effectively with all levels of management/employees/Consultants both in Head Office and the Field and collaborate with other Assistants within the Distribution.
  • Qualifications:

  • Minimum 4 years experience providing support and coordination of all administrative duties.
  • Completion of a Post Secondary education program focusing on general business and/or office administration.
  • Highly proficient in Microsoft Outlook, Excel, PowerPoint, Word, Internet
  • Accuracy, exceptional organizational skills and attention to detail are key requirements
  • Well developed communication skills (written and oral) and able to take the initiative to respond intuitively in anappropriate and timely manner.
  • Confidentiality is a key component of this position
  • Must be a self-starter with the ability to work with limited supervision
  • Solid understanding of the financial service industry would be an asset
  • Second language would be an asset
